Conference Guidelines
(CAMEX, TAC)


The NACS Foundation Board of Directors has adopted the following general guidelines to govern the allocation of all conference grants:

Application Process & Eligibility

  1. Grants will be awarded based on applicant need and weighted selection criteria. All applications must be submitted by the published deadline to be considered. Applications will not be accepted after the deadline.

    All applicants will be notified of their grant status via e-mail within 7-10 business days of the submission deadline. Once all grants have been allocated, a wait list will be kept in the event that a grant cannot be used.

  2. All NACS educational retailers or their institutions are eligible to receive one (1) grant every twenty-four (24) months for a conference of their choice (such as CAMEX) and one (1) grant every twenty-four (24) months for a course materials conference (such as the Textbook Affordability Conference). In addition, stores are also eligible for one (1) grant every twenty-four (24) months for an online course of their choice.

    All grants are subject to the availability of funds. Applicants with exceptional circumstances who do not meet the stated eligibility guidelines will be referred to the NACS Foundation Grant Committee for special consideration.

  3. Applicants with outstanding invoices with NACS, Inc. or with the NACS Foundation will not be eligible to receive grant assistance until they are able to make the account current through mutually agreed upon terms between involved parties.

  4. Applications must be submitted with all requested information and applicants must agree to the noted guidelines and eligibility requirements.
Grant Procedures and Notifications
  1. All applicants must register for the requested program prior to the noted registration deadline date (as noted in the grant description) or grant funds will be reallocated to alternate applicants.

  2. Applicants that are awarded a grant to attend CAMEX conference MUST utilize the CAMEX housing block. A credit for the approved number of conference hotel nights will be applied to a grant recipient's room account. No grant monies will be provided to the grant recipient or the educational retailer.

  3. In the event of an emergency or work obligation that prohibits the use of the grant assistance, the grant recipient must notify the NACS Foundation prior to the start of the program. Any travel funds provided to the grant recipient must be returned to the NACS Foundation.

  4. Grant recipients that cannot attend a conference must notify the NACS Foundation in writing a minimum of thirty (30) days before the event date to reallocate funds to grant candidates on the waiting list. Failure to notify the NACS Foundation by the deadline will result in the educational retailer being ineligible for a grant period of twenty-four (24) months.
Grant Recipient Requirements
  1. The NACS Foundation will provide a grant recipient survey within 30-days following the program or conference. The information will be used for publicity and reporting purposes. A completed survey must be submitted before an educational retailer is eligible to receive another grant.

  2. Grant recipients who fail to fulfill the required commitments for the grant will be required to reimburse the NACS Foundation for the allocated grant monies and will be ineligible to apply for a grant for a period of 24 months.
The NACS Foundation Board of Directors is solely responsible for all decisions regarding allocation of NACS Foundation grants and reserves the right to accept or reject any application.

In the event a grant recipient is unable to attend a conference due to unforeseen circumstances, NACS Foundation Grant Review Committee and Board of Directors reserves the right to fully reinstate a store’s eligibility so that they may apply for the same conference.
